Terms of Service

CompanySignatures generates and manages matching HTML email signatures for a company. A workspace admin selects and locks a brand template; teammates use a personal link to fill in their own name, title, and contact details; the finished signature is copied or downloaded and installed by hand into the teammate's own email client. We also offer a free public generator that requires no account.

Install verification works by checking inbound email sent to a private address associated with a workspace, matching the signature's asset URLs to a known member and signature version. It confirms a signature is installed, it does not read, store, or analyze the content of any email beyond what is needed to perform that match.

You must be at least 18 years old and able to form a binding contract to create a workspace. You are responsible for the accuracy of the information you or your teammates enter, and for keeping access to your workspace's sign-in email secure.

You agree not to use the service to:

• Upload logos, images, or brand assets you do not have the right to use.
• Impersonate a company or individual you are not authorized to represent.
• Attempt to access another workspace's data, bypass member link tokens, or probe the verification system for anything other than your own signatures.
• Send excessive volumes of test or inbound-verification email intended to disrupt the service rather than confirm an install.
• Use the service to violate any applicable law, including laws governing email marketing, data protection, or intellectual property.

Paid plans are billed as a flat monthly or yearly price for a band of members (Small, Growth, or Scale). Pricing is never per seat: adding a teammate within your plan's member limit never changes your bill. Payments are processed by Paddle, our merchant of record, which handles billing, tax, and invoicing.

Every new subscription is covered by a 30-day money-back guarantee. If the service is not working out within the first 30 days of a new subscription, contact us and we will refund the payment in full, no questions asked. Refunds outside that window are considered on a case-by-case basis.

You can change plans or billing interval at any time from the billing portal. Plan changes take effect based on Paddle's standard proration rules for upgrades and downgrades.

You can cancel a subscription at any time from the billing portal. On cancellation, the workspace becomes read-only rather than being immediately deleted: editing is locked, but members can still open their personal links and re-copy their existing signatures, and already-installed signatures keep working. Hosted signature images continue serving for 90 days after cancellation, and archived image versions are retained for 12 months before deletion. Deleting a workspace outright, at any time, removes its data as described in the privacy policy.

Logos, brand colors, headshots, and any other assets you upload remain your property. You grant us a limited license to host, process, and display those assets solely to provide the service to you. The CompanySignatures software, templates, and brand are our property; nothing in these terms transfers ownership of them to you.

The service is provided "as is," without warranties of any kind, express or implied. We do not guarantee that install verification will detect every installed or uninstalled signature under every possible email configuration, or that every email client will render every template identically, email client rendering varies by design and is outside our control.

To the maximum extent permitted by law, our total liability for any claim arising from these terms or the service is limited to the amount you paid us in the 12 months before the claim arose. We are not liable for indirect, incidental, or consequential damages.

We may suspend or terminate access to the service for a workspace that violates section 3 (acceptable use) or fails to pay for a paid plan after a reasonable notice period. You may stop using the service, or delete your workspace, at any time.

We may update these terms from time to time. If a change is material, we will update the date at the top of this page and, for active customers, provide notice in the product or by email before the change takes effect.
